Be the welcoming presence our guests and donors first encounter—join Refuge of Hope as our Donor Relations and Office Assistant! As the first point of contact for visitors, callers, and guests, you’ll be the friendly face and empathetic voice that represents our organization. Your primary responsibilities will include processing donations, ensuring our generous supporters receive timely and heartfelt acknowledgments, and managing our donor database to keep our records accurate and up to date. In addition to your administrative tasks, you'll also have the rewarding opportunity to assist individuals in crisis, connecting them with vital community services. Your ability to provide calm, informed support during stressful times will make a direct, positive impact on those seeking help.

Duties & Responsibilities

  • Maintain Refuge of Hope’s donor database by accurately entering new & updated donor information
  • Work with Director of Finance on data input & processing of donations
  • Work with the Director of Development to process weekly Thank You/Gift Receipt letters to donors
  • Serve visitors by welcoming & directing them appropriately
  • Answer incoming phone calls, identify presenting problem/needs and direct caller to the appropriate service provider for
    assistance (within Refuge of Hope or a referral to another community service provider)
  • Receive & sort daily mail/deliveries
  • Perform various clerical duties such as photocopying, faxing, printing, etc.
  • Purchase supplies; maintain office supply inventory
  • Oversee maintenance/upkeep of all office equipment
  • Maintain records/documents accurately & orderly to allow for quick information retrieval
  • Maintain an effective line of communication with associate part-time Donor Relations and Office Assistant
  • Maintain donor confidence & protect Refuge of Hope by keeping & enforcing confidentiality requirements
  • Demonstrate an understanding of community agencies and resources, de-escalation techniques
  • Willingness to train with various providers in the community
  • Ability to build and maintain relationships with community agencies as well as learn about various community resources
  • Recommend/maintain Refuge of Hope’s rules/policies/procedures
  • Ensure compliance with all safety & federal/state/local rules/regulations
  • Practice/enforce Refuge of Hope’s mission/vision/core values
  • Performs other work tasks as so required

Special Requirements

Must have a demonstrated commitment and adherence to understanding and implementing the mission, vision, core values, and philosophy of Refuge of Hope. Must have a strong commitment to serve the homeless, hungry and those living in poverty as well as be able to represent Refuge of Hope professionally in a variety of settings and diverse communities. Strong knowledge of social service providers in Stark County or previous social service experience is a plus. Must have valid driver’s license and insurance if operating any vehicle on behalf of Refuge of Hope.
